We’re working with an organisation based in Barry, South Wales, seeking a detail-oriented and efficient Estates Administrator to support their Estates function. This is a part-time opportunity.
Position: Estates Administrator
Salary: £25,720 per annum (pro-rated)
Location: Barry (with occasional travel to Cardiff)
Hours: Part-time, 25 hours per week
Contract: Permanent
What you’ll bring:
- Experience in an estates-related or property services environment
- Strong background in administrative or secretarial roles
- Excellent organisational skills and the ability to manage multiple tasks with competing deadlines
- Confident communication skills and a collaborative approach
- Strong IT skills, proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Willingness to learn or develop skills in estate/property-related software
- A valid driving licence (ideally but not essential)
- A current DBS certificate or willing to complete one
What you’ll be doing:
- Act as a key contact for tenants, handling queries and ensuring smooth occupancy throughout tenancy periods
- Support the operational estates team, ensuring records and information are always accurate and up-to-date
- Prepare detailed schedules for service charges and respond to related queries or challenges
- Liaise with contractors, consultants, and external partners
- Provide administrative and secretarial support, including diary management, correspondence, meeting coordination, and minute-taking
- Assist with the coordination of capital development, estate services (cleaning, catering), and contingency planning
- Use CAFM software and Microsoft Office tools to support reporting, document preparation, and estate data input
- Work closely with the finance team on accurate billing for rent and service charges
- Help maintain estate records and support with strategy development and insurance documentation
