Facilities Administrator
Barry, South Wales (occasional travel to Cardiff)
25 hours per week Monday to Friday 9:30am – 3:30pm
£13.37 per hour

We are working with a well-established state-funded organisation in Barry to recruit a proactive
and detail-driven Facilities Administrator. This varied role sits within the estates and
property team and offers the opportunity to contribute to key operations in the education sector.
This is a fantastic opportunity for someone with experience as an Administrator, Estates
Administrator, or Property Manager, who thrives in a collaborative and fast-paced environment.
What you’ll be doing:
• Acting as the first point of contact for tenant queries, ensuring smooth communication
and occupancy throughout tenancy periods
• Supporting the operational estates team with accurate records and reporting
• Preparing detailed service charge schedules and assisting with any related queries
• Administrative / secretarial duties such as coordinating meetings, managing diaries,
handling correspondence, and taking minutes
• Liaising with contractors, consultants, and external partners to support day-to-day
facilities operations
• Assisting with capital development projects, cleaning and catering services, and
contingency planning
• Using CAFM systems and Microsoft Office to maintain and input estate-related data
• Collaborating with the finance team to ensure accurate rent and service charge billing
• Supporting the estates strategy through documentation, compliance, and insurance
record-keeping
What you’ll bring:
• Proven experience in a facilities, estates, or property administration setting
• Background in administrative or secretarial roles, with excellent organisational skills
• Confidence in managing multiple tasks and deadlines simultaneously
• Strong communication skills and a team-focused approach
• Proficiency in Microsoft Office – Word, Excel, Outlook, and PowerPoint
• A valid DBS certificate or willingness to obtain one
