Position: Executive Assistant / HR Support
Contract: 3-4 months FTC
Location: The company is based in Cardiff but will offer flexible home working opportunities (must be able to commute to Cardiff office as required)
Salary: £30,000-40,000 pa (depending on experience)
Hours: Full time, 37.5 hours per week

As the Executive Assistant, you will be responsible for:
- Effective diary management and time management for the CEO and CSO primarily, as well as infrequent ad hoc requests
- Process diary requests for meetings, monthly 1-2-1 and half yearly appraisals, accommodation bookings and travel arrangements.
- Co-ordinate the diary management for meetings/calls/events relating to the Exec team
- Arrange meeting rooms/venues and appropriate resources.
- Proactively manage diary clashes/planning, maximise efficiency and reduce duplication of meetings.
- Support the Exec team with PowerPoint presentation preparation for meetings and conferences as required.
- Manage expenses claims for the Exec team.
- Invoice Processing
- Attend virtual and physical Exec meetings to take minutes and manage follow up and actions efficiently.
- Collation for all board reports monthly for Execs.
- HR and recruitment administration working closely with the HR and Recruitment Team, such as drafting and issuing offers / contracts, referencing, maintaining employee database.
For your application to be successful for this Cardiff-based Executive Assistant role, your CV should demonstrate the following:
- Proven experience in a similar role, working with Senior stakeholders
- Impeccable attention to detail
- Excellent communication skills, both verbal and written.
- Able to effectively prioritise and manage competing demands.
- Ability to use initiative and challenge the norm to always ensure continuous improvement in ways of working.
- Discretion when dealing with private and confidential information.
- Proactive approach to individually identifying requirements across the Executive leadership team.
- Excellent planning and organisational skills to ensure deadlines are met, with the ability to prioritise workload without close supervision.
- Ability to work to tight deadlines.
- Advanced Word, Excel and PowerPoint skills is essential
